PRIVACY NOTICE

This notice explains what Fight to Play does with the information you give us, who looks after it, and what you can ask us to do about it.

Who we are

Fight to Play is a project of Dust Atlas Limited, a company registered in England and Wales (company number 16743539), whose registered office is at Haydens Farm, High Easter, near Chelmsford, Essex, CM1 4QU.

Dust Atlas Limited is the data controller for the information described in this notice. There is currently no separate Fight to Play company.

What this notice covers

This notice explains what we do with personal information collected through the Fight to Play website — the four enquiry forms and the mailing list sign-up. It does not cover information collected in any other way, such as filming agreements or participation in the Fight to Play Cup, which are dealt with separately.

Information we collect

ENQUIRY FORMS

The website has four separate enquiry forms. Each collects only what is needed to answer that kind of enquiry, and each is kept separately from the others.

All four forms collect: your name, your email address, your message, and your agreement to us storing these details in order to reply.

Press & Broadcast may also collect, if you choose to provide them: your organisation, your role, the nature of your enquiry, any deadline you are working to, your country and your telephone number.

Partnerships may also collect, if you choose to provide them: your organisation, your role, the type of partnership you have in mind, your country and your telephone number.

Players & Families also asks your relationship to the player and whether the player is under 18. You may optionally give your country and telephone number.

General collects nothing beyond your name, email address and message.

MAILING LIST

If you choose to follow the journey, we collect your email address only. Joining the mailing list is entirely separate from making an enquiry — contacting us does not add you to it, and subscribing does not send us an enquiry.

Why we use your information, and our lawful basis

We use enquiry information to read, consider and respond to what you have sent us, and to keep a record of that correspondence. Our lawful basis is your consent, given when you submit the form.

We use your email address to send you Fight to Play news and updates — the documentary series and player journeys, the Fight to Play Cup, events, partnerships and the Wear the Story collections. Our lawful basis is your consent, given when you subscribe. Every email we send includes a link to unsubscribe, and you may do so at any time.

We use limited technical information to protect the forms from automated abuse. Our lawful basis is our legitimate interest in keeping the site secure and usable.

How long we keep it

We keep ordinary enquiries for 24 months, after which they are deleted.

We may keep an enquiry for longer where there is a genuine reason to — because a relationship, project or contractual matter remains active, because we are required to by law, or because a safeguarding matter is ongoing.

Mailing list details are kept until you unsubscribe.

Who we share it with

We do not sell your information, and we do not share it for anyone else’s marketing.

Enquiries are read only by the people within the immediate Fight to Play team who need to see them. We may occasionally need to share the content of an enquiry with an appropriate production or project partner where that is necessary to deal with that particular enquiry, but information is not routinely circulated outside the team.

We use the following service providers, who process information on our behalf and only on our instructions:

— Namecheap — website hosting. The website and its data are hosted in the United Kingdom.

— Proton Mail — delivery of the notification emails generated by the forms. Proton is based in Switzerland.

— Brevo — management of the mailing list. Brevo is based in France and stores data within the European Union.

— Prosopo Limited — protection of the forms against automated abuse. Prosopo is a UK company and processes only an IP address for this purpose.

Information sent outside the UK

Our website and the enquiries we receive are held in the United Kingdom.

Two of the services above operate elsewhere. Proton Mail is based in Switzerland and Brevo within the European Union. Both countries and the European Union are recognised by the UK as providing an adequate level of data protection, so your information remains protected to UK standards.

Fight to Play is an international project, and there may be occasions where it is necessary to share information with an appropriate partner outside the United Kingdom in order to deal with an enquiry. Where that happens, we take steps to ensure your information continues to be properly protected.

Players, families and young people

If you are under 18, please ask a parent or guardian to contact Fight to Play on your behalf.

We take particular care with information about players. If an enquiry plainly comes from someone under 18, we will ask them to have a parent or guardian contact us rather than continuing the conversation with the young person directly.

We deliberately do not ask for a player’s date of birth, school, club, exact location, photographs or video through the website forms. Where any of that becomes necessary later, it is collected through our safeguarding and consent process rather than through an open form.

Information submitted through the website is not automatically shared with clubs, academies, scouts, federations or other football organisations. If Fight to Play later identifies an opportunity for a player and wishes to introduce her to such an organisation, we will seek the appropriate permission before sharing her information.

Cookies and tracking

This website does not use analytics, advertising or tracking cookies, and does not profile visitors.

The forms are protected against automated abuse using a hidden field, a timing check and Prosopo’s Procaptcha. Procaptcha sets no cookies and stores nothing in your browser.

Your rights

Under UK data protection law you have the right to:

— ask for a copy of the information we hold about you

— ask us to correct anything that is wrong

— ask us to delete it

— ask us to restrict how we use it, or object to our using it

— withdraw your consent at any time, which will not affect anything done before you withdrew it

— ask us to transfer your information to someone else, where that applies

To exercise any of these, write to privacy@fighttoplay.com. We will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please tell us first at privacy@fighttoplay.com so that we can put it right.

You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

Changes to this notice

If we change how we handle information — for example by adding a new service or collecting something we do not collect today — we will update this notice before that change takes effect. The date it was last updated is shown at the top of this page.
